Scoping call
A call with the principal or decision-maker. We confirm fit and scope. If we're not right for you, we'll point you elsewhere. A yes or no from both sides, no pressure.
Workflow Audit
A structured review of your processes, systems, and bottlenecks. Week 1 is scoping, access, observation. Week 2 is synthesis and walkthrough. Outputs: process map, automation shortlist, rollout plan, fixed pricing.
Automation Build
The workflows from the Audit are built. Native features configured first. Exception handling included. Documentation your team owns.
Handover & stabilisation
We hand over documentation, training, and access. Your team runs the workflow for 30 days while we monitor and tune. Adjustments in this window are included in the Build price.
Support plan
Optional monthly plan for monitoring, API-change patching, AI-module upkeep, and a named contact during your crunch periods. Six-month minimum when engaged.

What does a Workflow Audit actually include?
A fixed-scope review of your current processes, systems, and bottlenecks, delivered over two weeks for $1,500. You receive a written process map of your current state, a ranked shortlist of automation opportunities with estimated hours saved, a phased rollout plan, and fixed implementation pricing. The $1,500 is credited against your first build if you engage within 30 days of the report.
Do I need to replace my current software?
No. The default approach is to configure what your existing tools already support natively. Karbon, Salestrekker, and Rex all ship substantial native automation that most practices never fully turn on. We configure those features first, then build integration and exception handling around them only where the gap is real.
Is my data safe when AI is involved?
Every AI module runs review-first. A person approves every output before anything is sent, filed, or finalised. We do not deploy autonomous agents. Model choice, data handling, and retention are documented per engagement. Australian data residency is available where the model provider supports it. For PII-heavy documents, we default to local extraction or AU-hosted inference.
How long does implementation take?
Typical single-workflow builds ship in three to eight weeks. AI modules take four to ten weeks because the review-and-tuning loop is longer. Exact timelines are locked in at the end of the Workflow Audit, which runs two weeks. Every Build includes a 30-day stabilisation window after handover. Optional monthly Support plans take over after that if you want them.
What happens if an automation breaks?
Orchestration and exception handling are a distinct part of every build. We design the runbook for failure modes before deployment: who is alerted, what the fallback flow is, what data is preserved, what the operator sees. Optional Support & Maintenance plans include monitoring, API-change patching, and a named contact during your crunch periods.
Who at my practice needs to be involved?
The principal or partner makes the commercial call. For the build phase, we typically work with whoever owns the workflow in question: the practice manager, a senior, or the partner directly. We do not require dedicated IT staff. Total principal time across a full build is usually three to five hours.
